We have a current opening for an Executive Coordinator, General Management Canada and are actively reviewing applications. 

This position is responsible for supporting the Managing Director and the Canada Business Unit Leadership Team to assure- administrative activity, in accordance with Ferrero policies, and to operatively coordinate and implement the required activities and tasks to support transversal projects / initiatives development in full respect of agreed requirements (in terms of budget, timing, resources, etc).


•    Job Location: 100 Sheppard Avenue East, North York, ON M2N 6N5 
•    Work Arrangement: Hybrid - 4 days per week in office 

Project Coordination
•    Pro-actively contribute to different transversal projects / initiatives keeping track of the status update of the multiple initiatives in pipeline and of the resources available, sending the meeting report, supporting documents creation and the definition and planning of the next steps
•    Carry out operational and organizational activities to ensure Projects objectives achievement and deployment, in full respect of timing and budget requirements e.g, templates and presentations preparation, stakeholders’ involvement, information cascading, meeting site selection, budgeting tracking, video/phone conference calls set up, scheduling management, travel coordination
•    Support the collection of the information of projects costs and benefits and consolidate on regular basis the information vs budget / plans, giving visibility to all stakeholders involved


Strategic Support and Communication
•    Act as the Managing Director's "sparring partner" in defining agendas and calendars for Ferrero Canada.
•    Provide support in preparing speeches, presentations, and strategic documents.
•    Assist with delivering information to the Canada BU leadership team 
•    Co-ordinates communicate with Ferrero Canada, Ferrero North America and Ferrero Group 
•    Maintain a high degree of confidentiality


Presentation Development
•    Assist with company and business presentations in PowerPoint
•    Collection and analysis of data to support presentations.


Administrative Support
•    Manage the calendar of the Managing Director
•    Provides administrative assistance and support for the Managing Director to include screening and handling telephone communications, greeting and directing visitors, and dealing with administrative problems and inquiries, as appropriate.
•    Schedules and coordinates appointments and business travel arrangements, vacation and coordinates daily office activities.
•    Assist with HR or office related tasks including use of systems (e.g. Success Factors, YourLearning, ADP Vacation, SAP, Travel, Concur), performance process, training processes, etc.
•    Expense management 


Purchasing
•    Solicit quotes and source suppliers for office activities, including catering for meetings, etc.
•    Create purchase orders, process invoices for payment


Conferences, Events and Subscriptions
•    Support and coordinate Company meetings and events, including ordering lunches, meeting room setup, and other administrative support as needed
•    Book and register for Customer Partners or Association events, seminars, workshops, etc.
•    Manage memberships and subscriptions

•    Post-secondary education in Business, finance, marketing, economics, or relevant field of study
•    4-7 years of experience supporting a President / Managing Director in a project management capacity
•    Experience in the food industry or in international contexts.
•    Experience managing complex calendars
•    Knowledge of project management principles, practices, techniques, and tools.
•    Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), ability to learn information systems (concur, SAP, etc)
•    Ability to proactively identify and analyze problems, and develop creative solutions to complex business issues.
•    Excellent oral and written communication skills with an understanding of confidentiality and protocol.
•    French, Italian, and any other language skills are considered an asset.
•    Strong organizational and administrative skills needed to arrange flights, manage calendars, manage expenses, set up business and company meetings (including ordering lunches, room setup, etc), 
•    Strong communication skills in order to communicate information in a timely manner to the Leadership Team

The base salary range for this position is $78,631 - 104,841. Actual compensation will be determined based on experience, qualifications, and other job-related factors permitted by law. This range represents the anticipated salary for this position at this time.

In addition to base salary, we offer a comprehensive benefits package, including health insurance, retirement plans, paid time off, and other benefits.
