About the Role:
As Workplace Management Specialist you will perform activities in the areas of facilities management, fleet management, procurement, and other general services programs and policies. You will be responsible for organizing, coordinating and assisting the office daily activities, ensuring the efficiency and effectiveness of the office operations. This includes maintaining office services, coordinating and defining priorities for office administration staff (where applicable), organizing events.
Main Responsibilities:
You act as a point of contact for the facility and assist with daily operational workplace requirements, such as: access card management, reception services, facilities management and vendor management
Supervising administrative support staff (Reception)
Assist with new hire onboarding process for employees and contractors in close collaboration with Human Resources and IT
Coordinate and supervise with the external provider all the procedures related Health & Safety; schedule semestrial sessions for Health & Safety trainings
Coordinating inventory of assets and responsible of the contracts related to office suppliers, maintenance company, utilities suppliers
Responsible for the security system and for the access control of the office
Support in organizing internal and external events
Car fleet coordination: managing the relationship with external suppliers: car leasing suppliers, fuel supplier
Coordinating corporate travels agencies, business meetings and events
Handling all procurement needs and all service providers, responsible of all the administrative contracts: cleaning company, furniture, office supplies, external legal companies
Collaborate with global Workplace Services colleagues on best practices
Various reports for external lawyers’ timesheets, fuel, cars
Responsible for registering in SAP all administrative purchase orders
Supports other departments in miscellaneous projects
Who we are looking for:
3+ years’ experience in workplace, facilities or office management
Bachelor's degree or equivalent
Strong communications skills
Proficiency in English
Solid knowledge of Microsoft Office Suite; SAP is plus
Customer and service oriented approach in dealing with peers and suppliers
Team player with pro-active approach and problem solving personality
